How to Download Invoices from Xero

Xero is a leading cloud-based accounting software for small and medium businesses worldwide. Managing your Xero subscription invoices is important for tracking software expenses and maintaining financial records. This guide will show you how to access and download invoices from your Xero account.

Prerequisites

You need to be the Billing Contact or Organization Administrator to access billing and download Xero invoices.

Sign in to Xero

Access your Xero account:

  1. Go to login.xero.com
  2. Sign in with your Xero credentials
  3. Select your organization
  4. Ensure you have billing access

Access Organization Settings

Navigate to settings:

  1. Click on your organization name in the top menu
  2. Select "Settings" from the dropdown
  3. Or click the settings icon in the top right
  4. Look for "Subscription" or "Billing" option

Navigate to Subscription

Find subscription section:

  1. In Settings, click "Subscription"
  2. View your current Xero plan details
  3. See active users and features
  4. Look for "Billing history" or "Invoices" link

View Billing History

Access payment records:

  1. Click on "Billing history" or "View invoices"
  2. See list of all subscription payments
  3. Each entry shows date, amount, and plan
  4. Filter by date range if available

Download Invoices

Get your invoice PDFs:

  1. Find the invoice you need
  2. Click "Download" or PDF icon
  3. Invoice downloads as PDF file
  4. Save for your accounting records

Access Email Invoices

Find invoices via email:

  1. Xero sends invoices to billing contact email
  2. Search email for "Xero invoice" or "Xero subscription"
  3. Invoices are attached as PDFs
  4. Update billing contact in settings if needed

Tip: Update payment method in Subscription settings to avoid service interruption.

Common Issues & Solutions

Can't access Subscription or Billing settings

Only the Organization Administrator or billing contact can access billing. Ask your organization admin to grant you these permissions or provide the invoices.

No billing history visible

If you're on a trial, billing history appears after your first paid charge. For partner-managed subscriptions, contact your Xero partner for invoices.

Invoice download fails

Check browser pop-up settings and ensure downloads are allowed from xero.com. Try clearing cache or using a different browser. Contact Xero support if needed.

Invoice shows charges I don't recognize

Review your subscription plan and add-ons in Settings > Subscription. Charges may include user seats, payroll add-ons, or Projects. Check detailed invoice breakdown.
