How to Download Invoices from QuickBooks Online

QuickBooks Online is a leading cloud-based accounting software for small and medium businesses. Managing your QuickBooks subscription invoices is important for tracking software expenses and maintaining accurate financial records. This guide will show you how to access and download your QuickBooks Online billing statements.

Prerequisites

You need to be the Master Admin or Company Admin to access billing information and download QuickBooks invoices.

Sign in to QuickBooks Online

To access your QuickBooks billing information:

  1. Go to quickbooks.intuit.com
  2. Click "Sign In" and enter your Intuit account credentials
  3. Select your company if you manage multiple QuickBooks accounts
  4. Ensure you have admin access to view billing

Access Account Settings

Navigate to the billing section:

  1. Click on the gear icon (⚙️) in the top right corner
  2. Select "Account and Settings" from the dropdown menu
  3. Alternatively, go to "Subscriptions and Billing"
  4. You may see a direct "Billing" option depending on your plan

Navigate to Billing Information

In the Account Settings area:

  1. Click on "Billing & Subscription" in the left sidebar
  2. Or select "QuickBooks Billing" from the gear menu
  3. You'll see your current subscription details
  4. Look for "Billing history" or "Payment history" link

View Payment History

Access your billing records:

  1. Click on "Billing history" or "View billing history"
  2. You'll see a list of all past QuickBooks charges
  3. Each entry shows date, amount, and plan details
  4. Use date filters to find specific billing periods

Download Subscription Invoices

To download QuickBooks invoices:

  1. Find the transaction you need an invoice for
  2. Click "Download" or "View receipt" next to the charge
  3. The invoice will download as a PDF
  4. Save it to your preferred location

Note: Invoices include subscription tier, add-ons, user licenses, and payment details.

Access Payroll and Add-on Invoices

For additional QuickBooks services:

  1. QuickBooks Payroll charges appear separately in billing history
  2. Look for QuickBooks Payments processing fees
  3. QuickBooks Time (TSheets) has separate billing if applicable
  4. Download each service invoice individually

Tip: You'll receive email receipts for each charge to your admin email address.

Common Issues & Solutions

Don't see the Billing option in settings

Only Master Admin or Company Admin can access billing. If you're a standard user or accountant user, ask your company's Master Admin to grant you admin privileges or download the invoices for you.

Billing history is empty or incomplete

If you recently subscribed, charges may take 24-48 hours to appear. For older invoices beyond the displayed range, contact QuickBooks support to request historical billing statements.

Can't download invoice PDF

Ensure your browser allows pop-ups and downloads from intuit.com. Try clearing your browser cache or using a different browser. Some older transactions may require contacting support.

Invoice shows incorrect company name or address

Update your billing information in Account and Settings > Billing & Subscription > Payment method. Changes will apply to future invoices but won't update past ones.
