How to Download Invoices from Expensify

Expensify is an expense management platform for tracking receipts, reimbursements, and corporate cards. Managing your Expensify invoices is essential for tracking expense software costs. This guide will show you how to access and download invoices from your Expensify account.

Prerequisites

You need Admin access to your Expensify account to view billing information and download invoices.

Sign in to Expensify

Access your Expensify account:

  1. Go to expensify.com/signin
  2. Enter your email or phone number
  3. Enter your password or use magic code
  4. Access your Expensify workspace

Access Settings

Navigate to account settings:

  1. Click on "Settings" in the left sidebar
  2. Or click your profile icon and select settings
  3. Look for workspace or policy settings
  4. Select the workspace you want to manage

Navigate to Subscription

Find billing section:

  1. In Settings, click on your workspace/policy
  2. Look for "Subscription" or "Billing" tab
  3. View your current plan details
  4. See active member count

View Billing History

Access invoice records:

  1. Click on "Billing history" or "Payments"
  2. See list of all past charges
  3. Each shows date, amount, and status
  4. View member count for that period

Note: Expensify bills monthly based on active member count.

Download Invoice PDF

Get your billing documents:

  1. Find the invoice you want to download
  2. Click "Download" or "View invoice"
  3. Invoice downloads as PDF file
  4. Save for your accounting records

Manage Subscription

Update billing information:

  1. In Subscription section, update payment method
  2. Edit billing contact details
  3. Manage plan and active members
  4. View next billing date and amount

Tip: Expensify sends email receipts for all subscription payments automatically.

Common Issues & Solutions

Can't access billing settings

Only workspace/policy Admins can access billing. Contact your Expensify workspace admin to grant permissions or request they download invoices.

Multiple workspaces

If you have multiple Expensify workspaces/policies, each has separate billing. Switch to the correct workspace to access its invoices.

Active vs inactive members

Expensify bills for active members only. Your invoice reflects members who submitted expenses that month. Inactive members aren't charged.

Free plan limitations

The free plan has limited features. Billing and invoices only apply to paid Collect or Control plans with active members submitting expenses.
